Export a single email
Note: You can save an email to a given library and document class only once. However, you can save it again to another library or to another document class.
1. Open the email you want to save to AODocs.
2. Open the Outlook add-in options and select Export this email.
3. Define the following:
- library - only libraries in which you are a contributor are listed
Tip: When you enter three or more characters, a drop-down menu appears with all the matching libraries in which you're a contributor.
- document class – only document classes with a String property named "Email ID" and in which you have the right to create documents are listed (learn more: Set up libraries for use with the add-in)
- document title – by default it is the email subject, but you can change it if required
4. Click Next.
5. Select the files you want to export as attached files. You can choose:
- EML file
- Body as PDF
- the email attachments
Note: EML is a file extension for email messages in the MIME RFC 822 standard format. An EML file contains all the original email data (header, body and attachments). This format is often used to archive emails. You can open EML files with most email clients like Microsoft Outlook or Mozilla Thunderbird.
Tip: Select or deselect the checkbox next to Attachments to select or deselect all the attachments in the email.
5. Click Export email.
What happens when I run the export?
When you run your export, a document is created in the library. It contains:
- the attachments of the email (if any) as attached files
- the email body as an attached file in PDF format
- an EML file as an attached file
- the details of the email (sender, recipients, etc.) saved in the corresponding document properties, if they exist – learn more: Outlook add-in: Configure your library
The panel displays the status of the export in real time. You can also open the dashboard to follow the export's progress.
In Outlook, a category is added to the email you exported:
- Exported to AODocs – if the export was successful
- Failed export to AODocs – if the export failed
