Move documents from Document Management libraries to other libraries

This article explains how library administrators can move AODocs documents from one Document Management library using Google Drive to another one. When you move documents from one library to another, the original documents are removed from the source library. 

You can also copy documents from Document Management libraries to other libraries.

Before you start

Who can move documents to other libraries from beta views?

In beta views, by default only library administrators can move documents to other libraries. They also need specific permissions in the destination library. They must be:

  • at least contributor in the destination library
  • document creator in the destination document class

A custom configuration flag lets contributors or readers in a library move documents to other libraries in which they are contributors. 

Important: This custom configuration can be configured by API only. It isn't available in the administration interface. Learn more about how to activate this custom configuration using the API.

If users are prevented from duplicating documents in your document class:

  • library administrators can only move documents – they can't copy them
  • the move action isn't displayed at all for contributors

Who can move documents to other libraries from new views?

In new views, permissions for moving documents or folders depend on the destination:


Move documents from new views

1. In a new view, select one or more documents.

Note: You can't move draft documents from Document Management libraries, but you can copy them.

2. Click the Move button and select Move to another library.

3. Select the destination library from the drop-down menu.

4. If your destination library has more than one document class, you can select the class into which to export your documents. A drop-down menu appears when you position your cursor in the Document class field.

5. Click Move.

A status message indicates that the copy is in progress.

A confirmation message appears when the copy is complete.

You can access the destination library homepage from the messages.


Move documents from beta views

Run the move operation

1. In a beta view, select one or more documents. 

Note: You can't move draft documents from Document Management libraries, but you can copy them.

2. Open the More actions menu and select Export.

3. In the dialog, select Transfer to an AODocs library.

4. Click Next.

5. Select the destination library from the drop-down menu.

6. If your destination library has more than one document class, you can select the class into which to move your document. A drop-down menu appears when you position your cursor in the Document class field.

Tip: If you're working in a library with more than one document class, you can select the current library and run an export to change the document class of your document. If your document is in a folder, it stays in the same folder but changes document class.
We recommend using new views to convert the document class of a document.

7. Click Export.

What's next?

When the move is complete, you can:

  • Reload the view (if you moved from a view): to refresh the current view
  • Go to target library: to open the destination Document Management library homepage
  • Stay in current library (if you moved from the document page): to return to the current library homepage in AODocs

Move a document from the document page

1. Open the More actions menu.

2. Select Export.

3. Follow from step 3 in the process to move documents from beta views.

What happens during the move operation?

During the move: 

  • Document properties are moved only if the configuration of the destination library corresponds to that of the source library.
  • The workflow state (if any) of moved documents reverts to the initial state of the workflow.
  • Sharing permissions of moved documents aren't duplicated.
  • Previous versions aren't moved.
  • If the document class in the destination library has a folder structure, AODocs creates an export folder named Export - [current date and time] containing the selected documents and moves the folder to the destination library.
  • If the document class in the destination library doesn't have a folder structure, AODocs moves the documents to the root of the destination Document Management library.
  • The user who performed the move receives a notification email

Note: This operation is recorded in the library audit log.
