Move content from Team Folders and Secured Folders to a user's Drive

This article explains how to move documents and folders from Team Folders or Secured Folders to any user's Drive. When you move content from one library to another, the original documents are removed from the source library.

Before you start

Who can copy content to a user's Drive from beta views?

In beta views, by default only library administrators can move documents to other libraries or to a user's Drive. They also need specific permissions in the target library. They must be:

  • at least contributor in the target library
  • document creator in the target document class

A custom configuration flag lets contributors or readers in a library move documents to other libraries in which they are contributors. 

Important: This custom configuration can be configured by API only. It isn't available in the administration interface. Learn more about how to activate this custom configuration using the API.

If users are prevented from duplicating documents in your document class:

  • library administrators can only move documents or folders – they can't copy them
  • the move action isn't displayed at all for contributors

Who can move content to a user's Drive from new views?

In new views, permissions for moving documents or folders depend on the destination:


Move documents from the document page

1. Open the More actions menu.

2. Select Export.

3. Select Transfer to Google Drive. The attached file in the document will be moved out of AODocs to the user's Drive.

4. Click Next.

5. Enter the email address of the user to whom you want to give ownership and click Export.

7.  When the move is complete, click:

  • Open export folder: to open the export folder in Drive
  • Stay in current library: to return to the current library homepage in AODocs

Move documents or folders from a view

1. Open a view. Learn more: 

2. Select one or more documents and/or folders.

3. Open the Move menu.

4. Select Move to a user's Drive.

5. Enter the email address of the user to whom you want to give ownership and click Move.

6. In the messages indicating that the move is in progress and complete, you can click Open export folder.

What happens during the move?

When you move documents or folders, AODocs:

  • creates an export folder named Export - [current date and time] containing the selected documents or folders

  • transfers ownership of the export folder and its contents to the selected user and adds the administrator as editor
  • pushes the export folder into the selected user's Drive and the administrator's Drive
  • sends a notification email to the new owner and the administrator
  • keeps any explicit permissions applied to moved documents or folders in Team Folders
  • removes any existing sharing permissions from moved documents or folders in Secured Folders

Note: Other library administrators and super administrators aren't notified of this action and don't have access to the moved documents. However, this operation is recorded in the library audit log.
