How to use Bulk Updater if you sign in with Microsoft

Yes. If you sign in to AODocs with a Microsoft account, you can use Bulk Updater to export document properties, edit them in Excel Online, and write the changes back to AODocs. This article is for Microsoft users. It does not cover Google sign-in.

Before you start

Sign in

1. Open Bulk Updater for your AODocs instance:

2. Select Sign in with Microsoft and complete the Microsoft sign-in.

3. Grant the permissions Bulk Updater requests.

You should land in Bulk Updater with the Create simple or Create advanced tabs available.

Important: Microsoft users cannot use the Google Drive file picker in Bulk Updater. Exports and updates use Excel Online, not Google Sheets.


Export your properties to Excel Online

The export itself is the same as for Google users. The difference is where the spreadsheet is created.

1. In Bulk Updater, open the Create simple tab (export only) or the Create advanced tab (export, then update).

2. Select a Domain and a Library. These two fields are required.

3. Optionally select a document class and/or a view to export a subset of documents.

4. Optionally name the export, then click Export.

5. Open the Recent tab. When the export finishes, click Open in new tab in the Spreadsheet column. Excel Online opens in a new browser tab.

Note: You can use Bulk Updater on AODocs libraries, including libraries that use Azure Blob Storage. You still select the library in Bulk Updater.


Edit the Excel Online spreadsheet

1. In Excel Online, edit only the white columns. Dark gray columns are system fields that you must not change.

2. Keep each cell under 50,000 characters.

3. Do not delete the extra columns that Bulk Updater adds in update mode (id, hash, Status, Reason).

4. Save your changes in Excel Online.

Only the person who ran the export can start the update. You can share the spreadsheet with colleagues so they can edit values, but they cannot run the update.

Write the changes back to AODocs

1. Return to Bulk Updater and open the Recent tab.

2. Next to your export, click Start an update.

3. In the dialog, optionally select Do not alter the last updater and last modified date.

4. Click Run!

When the status is DONE, the properties in AODocs have been updated.

If something goes wrong

  • You only see Google sign-in. Open the Bulk Updater URL for your instance and use Sign in with Microsoft. Do not sign in with a Google account if you work in Microsoft 365.
  • You cannot run an update. Check that you used Create advanced with update enabled, and that you are a library administrator or super administrator.
  • The spreadsheet does not open. Use Open in new tab on the Recent tab. Microsoft users get Excel Online, not Google Sheets.
