Use AODocs bookmarklet - Permission Export

1. Definition

The “Permission Export” bookmarklet allows users to export permissions of the libraries they have admin rights on. The output of the export can be displayed in two different formats: a CSV file or a Google Sheet.

2. Supported pages and permissions

The “Permission Export” can only be used from the AODocs homepage. It can only retrieve the permissions on the libraries the user, using the bookmarklet, has administrator rights on.

Using the bookmarklet as a super administrator exports all libraries’ permissions on the current domain.

3. How to use the “Permission Export”?

After the “Permissions Export” installation, go on the AODocs homepage with the right permissions and click on the bookmarklet button in the bookmark bar (1).

The pop up of the “Libraries Permission Export” appears with two parameters to configure for the export:

  • The scope of the permissions export: choose the libraries from which permissions have to be exported (2).
  • The format of the export: choose the output file, a CSV file or a Google Sheet (3).

Note: By default, all the libraries where the user have administrator rights on are in the scope of the export and the output file is a spreadsheet.

After setting the export parameters, execute the “Permission Export” (4).

As defined, a Google Sheet is created in MyDrive and opens in a new tab or CSV file is downloaded locally with the result of the “Permission Export”.

The output file, is composed of five columns: Library name, Library ID, Permission User Name, Permission User Email and Permission User Role. Each user permission is described in one row.

The permissions extracted from the libraries are the permissions set at the root level of the library. The permissions defined at the document class level, at a folder level, at a document level or at a workflow level are not detailed in the export.

Note: If Google Groups are set at the root level, the name and email of the Google Group will populate the output file. The members of the group won’t be listed. 

4. Troubleshoot

If an End User tries to use “Permission Export” and has no administrator rights through the entire domain, the “Permission Export” pop up will display an error message: you don't have access to the permissions of any library in AODocs.
