Copy documents from Document Management libraries

This article explains how to copy AODocs documents between Document Management libraries that use Google Drive. When you copy documents, the source documents remain in place. 

Different copy options apply to Team Folders and Secured Folders. Learn more: Copy content from Team Folders or Secured Folders to other libraries.

Library administrators can move documents from Document Management libraries.

Before you start

Who can copy documents to other libraries from beta views?

In beta views, by default only library administrators can copy documents to other libraries. They also need specific permissions in the destination library. They must be:

  • at least contributor in the destination library
  • document creator in the destination document class

A custom configuration flag lets contributors or readers in a library copy documents to other libraries in which they are contributors. 

Important: This custom configuration can be configured by API only. It isn't available in the administration interface. Learn more about how to activate this custom configuration using the API.

If users are prevented from duplicating documents in your document class library administrators can only move documents – they can't copy them

Who can copy documents to other libraries from new views?

In new views, all copy actions are available to everyone except viewers with a copy restriction.

You can copy documents:

  • to the current library
  • to another library

Copy documents from a new view

1. In a new view, select one or more documents.

Note: You can copy draft documents from Document Management libraries, but you can't move them.

2. Click the Copy button and select Copy to another library.

If you selected more than one document click the Copy to another library button directly.

3. Select the destination library from the drop-down menu.

4. If your destination library has more than one document class, you can select the class into which to export your documents. A drop-down menu appears when you position your cursor in the Document class field.

5. Click Copy.

A status message indicates that the copy is in progress.

A confirmation message appears when the copy is complete.

You can access the destination library homepage from the messages.


Copy documents from a beta view

Run the copy 

1. In a beta view, select one or more documents. 

Note: You can copy draft documents from Document Management libraries, but you can't move them.

2. Open the More Actions menu.

3. Select Export.

4. As a library administrator, select Copy to an AODocs library.

Note: This step isn't available for end users because they can't move documents to another library. The dialog shown in the next step opens directly for end users.

5. Select the destination library from the drop-down menu.

4. If your destination library has more than one document class, you can select the class into which to copy your document. A drop-down menu appears when you position your cursor in the Document class field.

5. Click Export.

What's next?

When the copy is complete, you can:

  • Go to target library: to open the destination Document Management library homepage
  • Reload the view (if you copied from a view): to refresh the current view
  • Stay in current library (if you copied from the document page): to return to the current library homepage in AODocs

Copy a document from the document page

Note: This action is available for library administrators only.

1. Open the More actions menu.

2. Select Export.

3. Continue from step 4 in the process to copy documents from beta views.

What happens during the copy?

During the copy: 

  • Document properties are copied only if the configuration of the destination library corresponds to that of the source library.
  • The workflow state (if any) of copied documents reverts to the initial state of the workflow.
  • Sharing permissions of copied documents and folders aren't duplicated.
  • Previous versions aren't copied.
  • If the document class in the destination library has a folder structure, AODocs creates an export folder named Export - [current date and time] containing the selected documents and moves the folder to the destination library.
  • If the document class in the destination library doesn't have a folder structure, AODocs moves the copied documents to the root of the destination Document Management library.
  • The user who performed the copy receives a notification email.

Note: This operation is recorded in the library audit log.

  • What happens to the older versions of exported documents when performing a AODocs to AODocs export?
    I know that they do not go to the target library but what happens to them?
    Are they still accessible?
    Do they get deleted?

    Can they be restored?

    Since the version is a concept of the AODocs document which includes: 
    Attachment(s) 
    System properties 
    Description 
    Custom properties 
    Workflow state

    When you export a document, from one library to another, we only export the latest version of the AODocs document.

    The previous versions attachment(s) are kept in the storage account (completely unshared to anyone). They can be reattached to a document as long as you know the Drive ID of the attachment to restore. Then you can use this API, to reattach the attachment to another AODocs document.

    The previous versions system properties, description, custom properties or workflow state are deleted. They cannot be restored.
