Copy content from Team Folders and Secured Folders to a user's Drive

This article explains how to copy documents and folders from Team Folders or Secured Folders to any user's Drive.

Before you start

Who can copy content to a user's Drive from beta views?

In beta views, by default only library administrators can copy content to other libraries or to a user's Drive. They also need specific permissions in the target library. They must be:

  • at least contributor in the target library
  • document creator in the target document class

A custom configuration flag lets contributors or readers in a library copy documents to other libraries in which they are contributors. 

Important: This custom configuration can be configured by API only. It isn't available in the administration interface. Learn more about how to activate this custom configuration using the API.

Who can copy content to a user's Drive from new views?

In new views, all copy actions are available to everyone except viewers with a copy restriction.

You can copy documents:

  • to the current library
  • to another library
  • to a user's Drive (in Secured Folders and Team Folders only)

Copy content from new views

1. Open a new view

2. Select one or more documents and/or folders. 

3. Open the Copy menu and select Copy to a user's Drive.

4. Enter the email address of the user to whom you want to give ownership and click Copy.

5. In the messages indicating that the move is in progress and complete, you can click Open export folder.

Copy content from beta views

Run the copy

1. Open a beta view

2. Select one or more documents and/or folders. 

3. Open the More actions menu and select Export.

4. Select Copy to Google Drive. The attached files in the selected documents will be copied to the user's Drive and the original documents will stay in AODocs.

5. Click Next.

6. Enter the email address of the user to whom you want to give ownership and click Export.

What's next?

When the copy is complete, click:

  • Open export folder: to open the export folder in Drive
  • Stay in current library: to return to the current library homepage in AODocs

Copy a document from the document page

Note: This action is available for library administrators only.

1. Open an AODocs document. 

2. Open the More actions menu and select Export.

3. Follow from step 4 in the process to copy documents from beta views.

What happens during the copy?

When you copy documents or folders, AODocs:

  • creates an export folder named Export - [current date and time] containing the selected documents or folders

  • transfers ownership of the export folder and its contents to the selected user and adds the administrator as editor
  • pushes the export folder into the selected user's Drive and the administrator's Drive
  • sends a notification email to the new owner and the administrator
  • keeps any explicit permissions applied to copied documents or folders in Team Folders
  • removes any existing sharing permissions from copied documents or folders in Secured Folders

Note: Other administrators and super administrators aren't notified of this action and don't have access to the copied documents. However, this operation is recorded in the library audit log.

  • In this article, it is assumed that user are starting from the AODocs interface.
    However, if user are starting from the google doc itself or from the Drive interface, then you should show how-to.

    Scenario 1 - from a google doc
    1) from a google doc, click the AODocs icon appearing on top of the document (right to the title), then continue to step 1
    1. In a view, select one or more documents and/or folders.
    2. Open the More actions menu and select Export.

    Scenario 2 - from Google Drive
    1) right click on your doc and select open with > aodocs
    then continue to step 1
    1. In a view, select one or more documents and/or folders.
    2. Open the More actions menu and select Export.

  • Why can't you do this from a Document Management Library also?

  • We don't offer it yet on the DML because one DMS document could have several attachments. We are first working on bringing the possibility to export one of the attachments of a DMS document back to a user (which is most usual use case we've seen so far).

  • Thanks Thibault. I currently need to get a copy of approx 400 attachments from a DMS & am not having any luck with the batch action book marklet as it keeps timing out. Do you have a better solution? Thanks
