What are external domains?

In AODocs, an external domain refers to any Google Workspace domain or Microsoft tenant that is separate from your organization's primary domain.

By default, only users on your Google Workspace domain or Microsoft tenant can access AODocs on your domain.


How do Google Workspace domains work with AODocs?

A Google Workspace domain can include multiple domain names, such as a primary domain, secondary domains, and domain aliases.

For example, users with email addresses like user1@primaryDomain.com and user2@secondaryDomain.com are considered internal users if both domains are part of the same Google Workspace domain.

AODocs treats all users within your single Google Workspace domain (including primary, secondary, and alias domains) as internal users.


Manage external domain access

As an AODocs super administrator, you can grant access to users from these external domains. This is done by adding the external domains to an allowlist.

  • This is a common issue for us and I often have to explain this to users.
    I recommend that external users do not create folders in our libraries.
    Could you say more about what happens to Folder in this article?

  • Hi John, external users are able to create folders in libraries, but they don’t have the option to import a whole folder from Google Drive. Is this what you are referring to?

  • Yes, we have many problems when an external person creates a folder in our libraries.
    Sometimes it is copied to our domain and sometimes it isn't. If the folder is copied to our domain the external user could add documents to their copy of the folder. There is then two folders that are being updated.
    I would rather have a way of preventing external users from creating folders in our libraries.
