Set up Banner and Dialog Messaging

The Banner and Dialog Messaging feature lets AODocs super administrators broadcast important information to all users on their tenant, through the AODocs interface. All users see the same content. 

This ensures:

  • a simple and controlled communication mechanism
  • consistent visibility across all users

The following formats are available:

  • Banner – a strip displayed at the top of the browser, above the page content. It stays permanently visible (unless you make it dismissable). Use it for announcements, maintenance windows, or incident notices.
  • Dialog – a message that hides the page. Users must click Ok to access the page again. Reserve it for critical information requiring acknowledgment.

– To activate Banner and Dialog Messaging on your tenant (feature flag messagingFeatureEnabled), contact your AODocs sales representative or send an email to sales@aodocs.com.
The Banner and Dialog Messaging feature is available only in the new tenant administration.  Super administrators can activate the new tenant administration on their entire AODocs tenant. Library administrators can activate it in individual libraries.

Create messages

1. As an AODocs super administrator, open the AODocs tenant administration

2. Select Messages.

3. Click Create message.

4. Enter a name for your message.

5. Select which type of message to create: Banner or Dialog.

6. Click Configure

7. Enter the message title and body. The title is limited to 40 characters. It's required for dialogs and optional for banners.

8. Optionally, select Add a link. The message will contain a clickable link. Enter the link text and a URL.

9. Optionally for banners: select Make it dismissable. Users will be able to remove the banner from their screen. If you don't select this, the banner remains permanently displayed. 

10. Click Save to save without activating the message. 

Alternatively, click Set as active then click Save.

Manage messages

All messages are displayed in the Messages screen. You can activate, deactivate, and delete messages individually.

Only one of each type of message can be active at any given time. If you try to activate a message of a type that is already active, a confirmation message opens. Click Activate to replace the message that's currently active with the new one.

How messages behave for users

  • Messages are displayed in the new end-user interface only. They don't appear in the administration interfaces, in portals, or in embedded AODocs pages.
  • Messages are loaded when users open or refresh a page. Users see a new or updated message the next time they load a page.
  • When a user dismisses a banner or clicks Ok in a dialog, the message stays hidden on that browser. Dismissals aren't shared between a user's devices or browsers.
  • Editing an active message updates its content, but doesn't bring it back for users who already dismissed it. To display an updated message to everyone again – including users who dismissed it – deactivate the message, then activate it again.

Limitations

  • Only one banner and one dialog can be active at a time on a tenant.
  • Activation is immediate and manual: you can't schedule a start or end date. Deactivate messages manually when they're no longer relevant.
  • Messages are displayed to all users of the tenant. You can't target specific libraries, roles, or users.
  • The title and body are plain text – no formatting – with one optional link button.
  • The message type (banner or dialog) can't be changed after creation. To switch, create a new message of the other type.
