AODocs 64 Release notes

Dear AODocs Users,

We’re pleased to announce the release of AODocs version 64.

This release introduces some new features and bug fixes to the AODocs application.

In addition to the release, we have some exciting news about the brand new AODocs Smartbar Chrome extension. You'll also find below details of recent updates to the AODocs mobile app and the AODocs LumApps widget.

Customize the sender domain in email notification addresses

With AODocs R64, it will be possible to configure a custom sender domain in all AODocs notification emails, such as workflow action emails or document creation notifications.

If configured, notification emails will be sent from an address containing the customer’s domain instead of the default AODocs address. This can be configured in specific libraries or on your entire domain.

The AODocs support team will perform the required configuration using information related to the customer’s email provider account and the domain they want to use as the sender. Once configured, the customer can choose to use the authorized domain at the domain level or the library level.

Note: This feature is available through the API.

For which users?

All users, either with a Google or a Microsoft account.

Why it’s important

For customers who have specific email compliance policies, AODocs notification emails are sometimes not recognized as coming from a corporate email account. In addition, some users may not be familiar with AODOcs but still need to perform actions in AODocs, such as workflow validations.

For this reason, it is important for all users to easily recognize AODocs notification emails as corporate, using the customer’s domain as sender instead of the default AODocs address.

Availability

This feature is available for all AODocs customers with the AODocs Application Platform license level. Contact your AODocs sales representative or send an email to sales@aodocs.com for licensing information.

This feature is available on both the US and European instances.


Improvements and bug fixes

  • Conditional logic (calculated properties, calculated titles, and conditionally mandatory or hidden properties) can slow down the user experience when editing a document, when many formulas are set on the document class.

We optimized the way formulas are applied to your documents, so you can expect a major reduction in the time it takes to edit documents with conditional logic. In this first iteration, the optimization comes with some limitations and side effects, so you need to request to have it enabled on your AODocs domain. Contact the AODocs Support team by email at support@aodocs.com or open a ticket to opt in for this improvement.

  • There’s a new sharing option when permissions are based on a document’s workflow state: Documents visible by all library contributors. With this setting, library contributors can view documents but not edit them, and library readers can't view them at all.

  • When picking Reference Catalog values from property dropdown menus in a document, the values are now listed by creation date.
  • Bugfix: in new views, the draft version of checked-out documents now opens by default.
  • Bugfix: the custom configuration flag that lets users change the maximum number of pending workflow tasks listed on the library homepage to above the default value of 100 wasn’t working. We fixed it, so you can now use it again for an entire domain or individual libraries.

  • Document Assembler bugfixes:
    • Document Assembler failed when there were several occurrences of the same placeholder in a PDF form.
    • The text font was sometimes changed after an inserted document.
    • Document Assembler sometimes failed with a 500 - Internal Server error.

Important note about the new views

The new views will be made the default option in release 65, instead of 64 as we had originally planned.


Mobile application updates

In the mobile app it is now possible to define shortcuts to have easy access to the libraries you use most frequently from the mobile app.

To access your list of personally-managed shortcuts, tap and hold the AODocs Mobile app icon on your home screen and select the name of the library you want to open. You can define up to four libraries as shortcuts.

Some users always access the same library on the mobile app. If you have a list of AODocs libraries that you use mainly when you are out and about, it’s important to have an easy and quick way to access. You may want to define them as shortcuts.

Filters based on properties in the AODocs LumApps connector

In LumApps displays based on library views, you can now use filters as well as the document title to search for documents.

All filters based on the following property types that are configured in the selected view are available in LumApps:

  • String
  • Person
  • Category (multivalue, multilevel)
  • Workflow state (multivalue)
  • Date
  • Date+Time

Why it’s important

It’s important to be able to filter documents using property values to address the following cases:

  • The current title filter in LumApps doesn’t find documents with underscores in their title.
  • Calculated titles can consist of a concatenation of properties, making the title long and difficult to remember.

All AODocs customers with an AODocs LumApps connector license.


New AODocs Smartbar Chrome extension coming soon!

The AODocs Smartbar Chrome extension brings AODocs features right into the Google Workspace applications Google Drive, Docs, Sheets, Slides and Drawings.

Why it’s important

Browser extension standards have evolved a lot since the Smartbar was initially launched, so we decided to rebuild it from the ground up, using the latest technology available and following the new Manifest V3 Chrome extension policies.

The functionalities in the new Smartbar are largely aligned with those in the legacy Smartbar. In addition, we updated the visuals to match the rest of the AODocs web application and made it available on the European instance of AODocs. Learn more: What are AODocs instances?

The new version is available on the Chrome Web Store.

Note that both the new Smartbar and the legacy Smartbar will be available on the Chrome Web Store for the coming months, so you can get familiar with the new version before the legacy one is decommissioned.
