- Create a document: a new library is automatically created.
- Change document permissions: the permissions in the associated library are updated.
- Perform a workflow action: access to the library is restricted or allowed based on the action.
- Delete the document: the associated library is deleted.
Managing lifecycle through workflow actions in a document
You can perform workflow actions on the document in the AODocs Folio library to control the library's lifecycle:
- Create a document then perform a workflow action: a new library is created.
- Change document permissions then perform a workflow action: the permissions in the associated library are updated.
- Perform a workflow action: the library can be deleted without deleting the controlling document.
Note: If you use workflow actions to manage the library lifecycle, access to the library is restricted or allowed directly through the workflow configuration.
What can I do with the Folio app?
The Folio app lets you define how new libraries are created and managed. Below is a list of elements that you need to define with the Folio app:
- The Folio library to use: this is the central library where users create documents to trigger the creation of new libraries.
- The document class: specifies the type of documents used within the Folio library.
- Default permissions: a set of permissions applied to all libraries created through this Folio configuration.
- Associated template libraries: each template library has its own specific settings (document classes, workflows, properties, and content). Users select a template from a Category property in the document they create in their Folio library.
- Storage: the AODocs storage account, Google Cloud Storage bucket or Azure container for libraries created with this Folio configuration.
A library created with Folio is an exact copy of the chosen template library. In addition, it includes any additional configurations defined in the Folio app, such as specific permissions and the storage platform.
