combine library types in the document management library

I would like to be able to combine the interfaces offered between the different library types.  Specifically, I would like to be able to create a class in the Document Management library, that would be understood to be tied to a single document.  So, that when I click on the link to the entry, it opens up the document, the way it does in the team libraries, rather than having it open it in the properties dialog and then having to click the attachment.  It would also mandate the single attachment to metadata relationship.

I have several libraries where I am loving the relational ability of the document classes and not having attachments on some of them, but then find for best search capability, it makes sense for the attachments to be loaded as a single relationship of one document class to one attachment.  It would be best then when opening up these "attachment" document classes, that it would open directly to the attachment preview, rather than taking multiple clicks to get there.

  • Hello Arlette,

Have you tried our Secured Folder libraries?

They bring features of Document Management libraries (multiple classes, relations, etc...) in Folder type libraries that work in Google Drive.

Also, they behave the same way as Team Folder when opening the document from the AODOcs document list view, the attachment is loaded first, not the properties page.

  • Yes, but does it also allow having a document class that has no attachments? When I do a "new" from a secured folder library it is requiring me to create or attach a document.  With the document library, we have several classes we use more like "database tables" with no attachments, and then one or two classes that do have attachments.  Not sure if this clarifies it.

  • Indeed, in Secured folders you have the bijection of one document to one attachment (1 AODocs document = 1 Google Drive file). Only DMS libraries allow having n attachments where n can be 0 or more.

I added our graph from this article for reference:

Then perhaps the behavior you would like to improve is whether to open the properties page or the attachment page (first attachment?) when clicking on the link to the document from a document lists view in the AODocs interface? Possibly defined at the class level?

  • Thanks, Thibault.  I think this might be a better way to express my request:

In the document management library, it would be great to have a checkbox on document classes that worked something like this:  "Title Link opens the first attachment in preview, rather than the properties screen".  That is really what I am trying to get.  For some of our document classes, we would like the link to open the first attached document in preview mode, the way the other libraries work, and for other document classes, it is great that it opens with the properties screen.

For those document classes where the primary purpose is to view the attachments, rather than the properties, it saves the user from having to click twice - once to open up the item to the properties view, and then a second click to preview the attachment.

And then an additional bonus feature would be to be able to add a restriction to a document class that it can have only 1 attachment, but that is less critical to the user experience...

  • Alternately, if this is not on the roadmap, is there anyway to have a custom link or a scripting option where when clicking the title link, it opens to the document preview screen, rather than the properties screen?
