AODocs Contract Lifecycle Management (CLM) is a tool that lets you streamline and automate your processes throughout the entire lifecycle of your contract: creation, approval, negotiation, signature, ongoing management and renewals.
Your CLM library comes pre-populated with your organization's list of templates. This article explains how to access your templates and create contracts from them.

Access contracts and templates
1. From the library homepage, click the views button to open the list of views.

2. Use the following views to access your contracts:
- WIP contracts: contracts that are currently in pre-execution phases (draft, negotiation, review, etc.)
- My WIP contracts: contracts you created that are currently in pre-execution phases
- Upcoming renewals or Upcoming terminations: contracts approaching renewal or termination in the next x number of months (where x is defined by your library administrator)
- Executed contracts: executed contracts
From any of the above views, click a title to open a contract.
3. Use the Templates view to access your templates.
Choose a template
1. Open the Templates view.
2. If required, use the filters and search in the view to narrow down the list of templates.
3. Open the template you want to use as the basis for your new contract.
4. Click the jigsaw puzzle button and select Create contract from template.
Note: In the attached contract file, you can see any placeholders that were added to the template. Placeholders have the format: ${placeholder}
. They are used to insert properties and clauses when you assemble your contract.
5. A new contract opens in create mode. It has one attached file, which is a copy of the attached file from the template document you selected.
Add related items
Use the Add related item buttons to link your contract to:
- one external entity (mandatory)
- one internal entity (mandatory)
- one addendum (optional, if you're creating an addendum or amendment for an existing contract file)
Important: You can add one or two internal entities. Don't add more than one external entity.
Tips:
In the Search field:
– enter text and press Enter to search for items of the selected type (external entities in the example below) containing your text
– position your cursor in the field and press Enter to display all items of the selected type that can be related to the current contract
Fill in properties (metadata) and select clauses
1. Click the Edit button.
2. Enter values for your properties. Learn more: Edit custom properties.
Note: Properties with a red star are mandatory.
2. In the Clauses section, define which clauses to include in the contract.
Note: Leave a clause blank if you don't want it to be included in your contract.
3. Click the Save button.
When you save:
- your contract is created and is automatically given a title using the information that you selected – the naming convention is:
[contract type] [internal entity] [external entity]
followed by[version number]
if in a pre-signature phase or[signature date]
if in a post-signature phase - properties under Internal company information and Contracting party information are automatically filled in using data from the related external and internal entities you selected
- you can access the attached contract file

Assemble your contract
Click the jigsaw puzzle button and select Assemble Document.
The properties you defined and the clauses you selected are automatically inserted into the placeholders in the attached contract file.
