Manage permissions in your Secured Folders

As a library administrator, you can define who has access to your Secured Folder.

With the legacy AODocs Smartbar installed, you can define these permissions in the Secured Folder security center.

Important: If you are using the new Smartbar, you must define these settings from the AODocs interface. Learn more: Configure security settings in Secured Folders from AODocs.

If you're using the legacy Smartbar, as a library administrator you can:

Access the Secured Folder security center

1. Access a Secured Folder as a library administrator.

2. Click the gear button and select Security center.

3. Select the Permissions tab.

Define the permissions mode

Use the checkbox Allow permissions to be changed at the subfolder and file levels to define a permission mode for your Secured Folder:

  • Flexible permissions: the checkbox is selected.
    Users with sharing privileges can manage permissions at the level of subfolders and on individual files.
  • Uniform permissions: the checkbox is not selected.
    Files take the permissions set at the library level and can't be changed at the level of subfolders or individual files.

Define your Secured Folder's permissions

In the Permissions tab in the security center, select the required permissions for your library:

  • Only specified users have access to the library — select the required users
  • All users in the domain have View access to the library
  • All users in the domain have Edit access to the library

Note: The highest level of sharing outside your domain set in the Google Admin console overrides the visibility options set at the library level.

Give users and Google groups access to the Secured Folder

1. Enter the email address of the new user or Google group and click Add.

Note: When you start entering an email address, AODocs autocompletes with the email addresses available in your Google domain global address list.

2. Choose the permission level of the new user or Google group:

  • Can view: user/group can view the files but can't make changes
  • Can edit: user/group can view and edit files
  • Is administrator: user/group can view and edit files and has full administration privileges including configuring library settings and adding/removing other administrators

3. Click Add to add the user/group to the list of people authorized to access the Secured Folder.

Tip: For existing users/groups, you can:
– change their permissions via the drop-down menu
– remove them by clicking the cross next to their name
