Manage document attachments in all types of library

Attachments are files stored in Google Drive, owned by the storage account of the library. Attachments are elements of an AODOcs document. Learn more: What are document attachments?

Documents in Team Folders and Secured folders must have exactly one attachment. Documents in Document Management libraries can have no attachments or several attachments.

In all types of library, you can:

 Preview attachments
Upload new versions of attachments
Download attachments

Note: Some actions for managing attachments are specific to Document Management libraries

Preview attachments

1. Open an AODocs document in any type of library.

2. In the sidebar, select the file you want to preview.

  • For Google files, such as Google Docs, Sheets or Slides, the file opens in the embedded Google application in the AODocs document editor. 
  • For other files, a preview of the file opens.

Note: The preview is available only for file formats supported by Google Drive preview.

Upload new versions of attachments

Note: This feature applies only to non-Google files.

When you upload a new version of a non-Google attachment, you must choose to keep the current version or to overwrite it. Learn more: Understand the AODocs version control system.

1. Open an AODocs document in any type of library.

2. In the sidebar, press the Upload button next to a non-Google attachment. In Document Management libraries you can also access attachments in the Properties panel, under Attachments.

Important: You can't upload new versions of attachments when you are editing the properties of the document.

The upload option is also available from the More actions menu next to the non-Google attachment.


4. Select one of these options in the Upload pop-up:

  • Keep the current version: upload your file as a new version and keep the current version of the attachment as a previous version
  • Overwrite the current version: overwrite the current version of the attachment

5. Press Choose file to select the file to upload.

6. If you chose to keep the current version in step 4, enter a name and a description for your new version.

Note: You can’t use the same name as another version of the document.


7. If you chose to overwrite the current version in step 4, you can press the Upload button directly without entering a version name and description.

Any new version of the file you upload must have the same Multipurpose Internet Mail Extensions (MIME) type as the previous version. For example, you can upload a Word document only to update a Word document.

Download attachments

1. Open an AODocs document in any type of library.

2. Open the More actions menu next to the attachment and select Download Attachment.


2. If the file is a non-Google file, the file downloads to your computer immediately.

3. If the file is a Google file (Docs, Sheets, Slides), a pop-up opens. Select the format you want to download the file as. Press Close. The file downloads to your computer.
