Import an email into a Document Management library

Thanks to the AODocs Smartbar, you can import your emails and their attachments from your Gmail interface into a Document Management library. The “Import” feature allows you to save them as new AODocs documents in your selected library.
During the import process, you will be able to decide how to import your email body and select the attachments and inline images you want to keep.

Important: You must install the AODocs Smartbar. Learn more here: Install the AODocs Smartbar.

Note: The “Import into AODocs” button is available only if you can create a document in an AODocs library or if you have access to a Document Management library.

Select the destination library

1. Open the email to import.

2. Click the “Import into AODocs” button.

 

3. From the library picker, select the destination library. You can also enter manually the library name and select it in the suggestion list.
    A message displays informing you that a new document will be created.

Important: You only have access to the Document Management libraries in which you can create documents.

Note: By hovering over the library name, you can add it to your “Favorites” list by clicking the “Star” button. This “Favorites” list is only available from this library picker. 


Manage the import of the email body

You can choose how to import your email body:

  • Include as AODocs document’s description: This option allows you to create, in the root folder of your library, a new document with the email body as description:

- The email subject becomes the title of your document (Title = “Subject: [email subject]”).
- The email body becomes the description of your document with all information about the recipient, the sender and the date of receipt.
- The selected email attachments are listed as document attachments. 

 

  • Include as a Google Document attachment: This option allows you to create in the root folder of your library a new document. The email body is integrated in this new document as attachment:

- The email subject becomes the title of your document (Title = “Subject: [email subject]”).
- The email body becomes an attachment of the document.
- The document description remains empty.
- The selected email attachments are listed as document attachments.

  • Exclude the body: This option allows you to create in the root folder of your library a new document with only the attachments and inline images of the email as documents:

- The email subject becomes the title of your document.
- The document description remains empty.
- The selected email attachments are listed as document attachments.


Select the attachments and inline images to import

By default, all attachments and images are selected.

1. Clear the attachments and inline images you do not want to import.

2. Click the “Import to root” button.
    A confirmation message is displayed with a link to your new document.

Important: In a Document Management library, you can only import your emails into the root folder. The “Select a subfolder” button is always greyed out.

Notes:
- Your import choices (library destination, body import) are saved until you reload your Gmail page or leave it. If you want to import another email to AODocs, the previous options are automatically selected.- If you import a conversation, you will create a document with the content of all previous emails and with all inline images included in these emails. You can only access the attachments of the selected email. The previous attachments will not be listed.
- The actual limit for emails sent to AODocs is 24 MB for the total size of the email, including the email body and all attachments.

3. Edit your document properties.
